With the growing importance and understanding of the need for a coordinator/planner on your big day, you need to know the difference between a venue coordinator and a wedding planner. Brides tend to think that the two are one in the same thing, and therefore can host their wedding with the one and leave out the other. In actual fact both are of absolute importance. VENUE COORDINATOR

Is responsible for all tasks that take place at the venue itself. Their core responsibilities include:

  • Presenting menu options and coordinating food and wine.

  • Managing and coordinating venue-specific staff.

  • Pricing all facility-related costs.

  • Ensuring artists are prepared and scheduled.

  • Testing staging and lighting two to three hours prior to the event.

  • Scheduling and leading site visits.

  • Advising on menu and wine pairings.

  • Arranging rentals (cutlery, crockery, linen) and supplemental staff when not provided by caterers.

  • Ensuring adequate staffing levels based on guest count (preventing venue understaffing).

  • Sourcing, designing, and managing event stationery and RSVP tracking.

  • Managing travel and accommodation logistics for artists and out-of-town guests.

  • Recommending and setting appointments with vendors (makeup, floral, music, etc.).

  • Designing the overall concept and layout to fit venue specifications and overcome space flaws.

  • Advising on required permits for outdoor or international events.

  • Managing real-time troubleshooting and unforeseen circumstances.

  • Guiding clients neutrally without imposing personal preferences, keeping the client’s vision paramount.

  • Directing the event flow, decor conceptualization, and pre-event rehearsals.
